The role
We are seeking a highly organized and proactive Operations & Business Affairs Manager to join our growing team. This pivotal role will be responsible for overseeing and maintaining the systems for all US operations and business affairs while working closely with the Managing Director and collaborating with our UK-based Operations and Finance departments. This individual will also ensure the smooth management of business agreements, insurance policies, and office operations in the US. This role is primarily an internally-facing position; however, there may be times during client onboarding and scoping that that will be client-facing.
Job Responsibilities
Operations Management
- Implement, maintain, and optimize operational systems and processes for US-based activities.
- Maintain a library of agency-related resource materials and business trackers, such as Dazed Studio US handbook and freelancer database.
- Oversee day-to-day business operational (non-client project) functions, ensuring seamless workflows across internal teams and timely project execution.
- Work with cross-functional teams to improve operational efficiency, ensuring that administrative tasks are completed on time.
- Collaborate with UK-based Operations team to align and standardize operational practices between US and UK offices.
- Collaborate with US-based HR consultant on all business operations-related needs, including supporting city, state and federal employment practices compliance.
- Collaborate with UK-based Finance team on the management of US business and freelancer invoices.
- Support the Managing Director in tracking resources, managing internal studio logistics, and coordinating internal project timelines.
Business Affairs & Legal Support
- Manage and oversee the organization’s contracts and business affairs, including vendor and partner negotiations and agreements.
- Manage and maintain all US business agreements, including office lease contracts, business subscriptions, and other operational partnerships.
- Implement systems for maintaining contracts, intellectual property rights, licensing, and other key legal documents.
- Support on Product vendor negotiation and contracting with emphasis on SAG AFTRA compliant shoots, on an as needed basis.
- Ensure compliance with all relevant regulations and company policies.
- Liaise with legal counsel to ensure agreements are clear, accurate, and beneficial for Dazed Media Inc.
Insurance & Business-Level Agreements
- Track, manage, and maintain Dazed Media Inc’s US insurance policies and their renewals, ensuring they are current and in compliance with organizational requirements.
- Lead the review process of all MSAs through agency leadership and working collaboratively with external legal.
- Maintain master MSA tracker with key competitor and insurance compliance watch-outs and ensure compliance across Dazed Studio US projects.
Finance Support
- Support the UK Finance team to monitor US budgets, track project expenses, and ensure financial accountability across operations.
- Support the Managing Director with financial reporting, forecasting, and analysis of operational costs.
Cross-Department Collaboration
- Serve as the main point of contact for operational, business affairs, and financial matters within the US office.
- Work closely with UK-based department leads in Operations and Finance to ensure cohesive collaboration and information flow.
- Provide operational and business affairs support to various teams, helping solve issues and proactively mitigate challenges.
Required Skills & Experience
- Experience: Minimum of 5 years in operations, business affairs, or a similar role, ideally in a creative or media agency environment.
- Education: Bachelor’s degree in Business Administration, Operations Management, or related field (or equivalent professional experience).
- Operational Expertise: Proven ability to implement and manage organizational systems and processes, ensuring effective and efficient operations.
- Business Affairs Knowledge: Strong background in contract management, business affairs, intellectual property rights, and negotiation skills.
- Financial Acumen: Knowledgeable in budgeting, forecasting, and financial reporting. Experience with accounting software and working alongside finance teams.
- Legal & Insurance Expertise: Experience in managing business insurance policies, office leases, and other business-level agreements.
- Tech Savvy: Proficient in Microsoft Office Suite, Google Workspace, project management tools, and financial management systems.
- Attention to Detail: Strong organizational skills, capable of managing multiple tasks, contracts, and deadlines simultaneously.
- Communication: Excellent verbal and written communication skills, with the ability to work well across different teams and regions.
